This policy covers this website (snowball.farm) and the FarmHand apps. Short version: we collect what we need to run the product and reply to you, and we don't sell any of it.
Who we are
Snowball and FarmHand are products of Fantastic Machines, Inc., the company that operates this website and the FarmHand apps. “We” and “us” below mean Fantastic Machines, Inc.
This website
If you use a form on this site, we receive what you type and nothing else: for the contact forms, your name, your email or phone number, your organization if you give one, and your message; for the account deletion form, the email you sign in with and anything else you choose to add. Both forms go straight to our own FarmHand servers, which keep a copy and email it to our support inbox. We use it to reply to you, or to confirm it's you and delete your account. The deletion form also sends you one email saying we got the request. That's it. The site itself sets no tracking cookies and runs no third-party analytics, and it is hosted on Cloudflare.

The FarmHand apps
FarmHand is a work tool for farm crews. On a farm that uses it, the app records the operational data the farm's managers put into it and the actions crew members take in it: tasks, clock-ins, shifts, supplies, and plain-language notes (typed or spoken). That data belongs to the farm and is used to run the farm's operation, including the AI features described on this site.
To run your account we also keep your name, your role on the farm, the email you sign in with, your phone number if the farm adds it, your PINs (stored scrambled, never as the number itself), and your language and display settings. If you turn on notifications, we keep a notification token for each phone so alerts reach it.
Voice
Voice is push-to-talk: the microphone is used only while you hold the button. The words are turned into text by your phone's own speech recognition (Google's on Android, Apple's on iPhone) or by your web browser's. We receive the text, not the recording.
Who helps us run it
We don't sell personal information. We share it only with the service providers that host and power the product, and only for that:
- Amazon Web Services: hosting, the database, backups, and outgoing email.
- Anthropic: Claude, the AI behind FarmHand's assistant. If Anthropic's service is down, the same Claude model runs on Amazon Web Services instead.
- WorkOS: sign-in for managers and phone users.
- Google Firebase Cloud Messaging and Apple Push Notification service: delivering notifications to phones.
- Cloudflare: hosting this website, and receiving the email replies suppliers send to a farm's FarmHand address.
- Google Workspace: our own email, including support@snowball.farm.
Maps and weather radar in the app load directly from OpenStreetMap and RainViewer, which see your device's internet address the way any website you visit does.
Anthropic doesn't use what its commercial API customers send to train its models unless the customer chooses to share it, and we haven't. Amazon Bedrock doesn't use inputs or outputs to train any model, and doesn't share them with the company that made the model.
How long we keep it
- The farm's records (tasks, hours, pay, and the history of changes) are kept for as long as the farm uses FarmHand. They are the farm's records.
- Your conversations with the assistant are kept while you have an account and deleted when you delete it. The separate log of each raw request you speak or type is deleted after 365 days, or right away when you delete your account.
- AI usage records: 7 days.
- Camera snapshots, on farms that connect cameras: 48 hours.
- Backups: copies of the database expire on their own within about 49 days.
Deleting your account
You can delete your account in the app or by asking us. See how, and what gets deleted. If you worked on a farm, the farm is your employer and keeps the pay and hours records the law requires. Your employer controls those records.
